One short email with the receivables total, what came in, and what each person has and hasn't logged.
Sample Morning: your follow-ups for today, only when there is something waiting.
I kept seeing the same thing: every time someone sat down to work the A/R list, they started over. It took a lot of time, and when things got busy, collections was the first thing to slide. So I built Zapps A/R. It reads your open QuickBooks invoices and gives your team one list of who to follow up with today, with every note and promise to pay saved.
Why not just use QuickBooks or a spreadsheet?
| Zapps A/R | QuickBooks alone | A spreadsheet | |
|---|---|---|---|
| Who to follow up with today | A daily list | Overdue lists and reminders; no per-person daily list | You build and maintain it |
| Adds overdue customers by rule | Yes | Customer-reminder rules; no per-customer follow-up rules | Only with formulas you write |
| Promise-to-pay dates | Saved with the note | No dedicated field; use notes or To Dos | A column you maintain |
| Notes on the account | Saved for the whole team | Customer notes; no shared follow-up log | Depends on how well it's kept |
| Owner email | Weekday morning and evening emails, readable without logging in | Scheduled aging report; no team activity summary | Not without custom automation |
| Cost | From $50 a month | Reminder features included in some plans | Free to start, but it takes staff time |

Questions
Does Zapps A/R change QuickBooks?
No. Invoices, payments and the company file stay in QuickBooks. Zapps A/R reads your open invoices and keeps the notes.
Is Desktop the same setup as Online?
Same list, same prices. Only the connection step differs: Desktop uses a small tray app on your computer, and Online connects directly.
Who sees the notes?
Anyone at that company who can sign in to Zapps A/R.
What happens to the notes if we cancel?
Canceling stops the charge. Notes stay until you ask for the account to be removed.
Are the 14 days charged up front?
No. The 14 days are free, and no card is taken to start. If you subscribe with more than two days left in your trial, your card is saved and the first charge waits until the trial ends. If you subscribe with two days or less left, or after the trial is over, you're charged the monthly price that day. It renews on the same day each month.
How is the price picked, and when does it change?
A customer counts when an invoice still has a balance. Up to 50 is $50, up to 200 is $99, more than that is $149. We use the highest count from the month before. The price is set on the 1st and stays for the month.
What about a second company?
A second company is a separate bill, priced the same way from its own customers.
